Our terms

 

GENERAL STATEMENT

 

Our company is committed to completing contracts efficiently and within program while meeting clients’ expectations on performance, reliability and quality.

 

Our company shall endeavour to fully understand and meet the requirements of clients throughout, from initial consultation and planning to completion of works and commissioning.

 

Our company shall maintain clarity and transparency in all communication with clients and others affected by our work activities.

 

Our company shall adhere to all relevant legislation, guidelines and codes of practice in all aspects of our work.

 

Our company shall ensure that all works are carried out in a safe manner and completed to a high standard.

 

Our company is committed to conserving natural resources and operating in a sustainable manner sensitive to the environment.

 

QUOTATION

 

A quotation shall not be issued unless a site survey has been completed or a set of drawings supplied.

 

Upon issue, a quotation shall be valid for 28 days.

 

Our company may estimate the cost of required works without carrying out a site survey, but such estimates are intended for guidance only and shall not be binding.

 

Before undertaking any preliminary works required to produce a quotation, e.g. electrical testing or inspection, Our company shall notify the client of the cost of such works.

 

The quotation shall include a clear cost for agreed works including all labour, materials and fittings, unless otherwise agreed with the client. 

 

PLANNING PERMISSION

 

In some circumstances, planning permission may be required for works on a listed building or property in a conservation area. Agreement of a quotation shall be taken as confirmation that planning permission or a building warrant has been received for the proposed works, or that such permissions are not required.

 

Our company shall not be held responsible for any works where planning permission or a building warrant was required but not obtained.

 

If requested by the client, our company shall obtain any necessary planning permissions or building warrants. Before undertaking any such enquiries, our company shall notify the client of the costs involved.

 

SCHEDULING

 

Following acceptance of a quotation by the client, our company shall contact the client to agree a timetable of works.

 

The client shall be made aware of the scope of works and the expected timescale.

 

As much flexibility as possible shall be shown when scheduling work activities to consider the client’s preferred working times and dates, including any “critical completion” deadlines.

 

Acceptance of a quotation and agreement of a schedule shall be understood as a contract of works.

 

Our company shall inform the client of any changes to the agreed timetable at the earliest opportunity and shall expect the client to do likewise.

 

INSURANCE

 

In some circumstances, it is advisable to inform property insurers of any proposed works before work activities commence. This shall be the responsibility of the client.

 

QUALITY ASSURANCE

 

Unless supplied by the client, goods and materials shall be sourced only from suppliers approved by our company.

 

Goods and materials shall only be received by company personnel and all orders shall be checked upon receipt to ensure that they are complete, and that goods and materials are not defective or damaged.

 

Goods and materials shall be handled, transported and stored in a manner that is safe and protects from potential damage or deterioration.

 

All installations and commissioning shall follow the requirements set out by the NICEIC and shall comply with all relevant industry standards.

 

Company personnel shall be experienced, competent and qualified for their work, shall be provided with suitable tools and equipment and shall be familiar with company working practices and policies.

 

Our company shall ensure that all subcontractors are qualified and possess the necessary experience to carry out their work competently and in compliance with all company policies.

Sufficient supervision of company personnel shall be maintained to ensure that risk assessments and safe working method statements are followed, a safe working environment is sustained and that all works are to the required standard.

 

SAFEGUARDING

 

Our company recognises that the welfare of all vulnerable groups is paramount, as enshrined in the Children Act 1989, and accepts responsibility for safeguarding children and vulnerable adults present at any site of our work to protect them from all types of harm or abuse.

 

Our company shall carry out all necessary checks and provide relevant training for company personnel working in the presence of children or vulnerable adults, and ensure such personnel are effectively supervised and supported.

 

Our company shall ensure that a safe physical environment is maintained for children and vulnerable adults present at any site of our work by applying health and safety measures in accordance with the law and regulatory guidance.

 

ENVIRONMENT AND SUSTAINABILITY

 

Our company shall strive to keep informed of, and adopt wherever possible, new technologies, products and industry working practices which could lead to the improved sustainability of the company’s work.

 

Our company shall support the adoption of sustainable energy and shall be committed to offering installation services for low carbon and renewable energy sources.

 

All electrical schemes designed by our company shall endeavour to minimise energy consumption and increase efficiency.

 

Our company shall advocate the use of electrical fixtures and fittings which are energy efficient, Carbon Trust Accredited, or have a longer lifespan.

 

Consideration for the immediate environment shall be taken in all our company’s work activities, with particular care taken to minimising dust or noise pollution, and to preventing the pollution of watercourses, sewers or drains with chemicals or other substances.

 

Our company shall seek to eliminate or reduce waste on site by repairing or re-using existing fittings and materials, where applicable.

 

All waste materials shall be appropriately recycled, wherever possible. The remainder shall be disposed of responsibly.

 

Our company shall prefer local suppliers when procuring materials, to reduce travel time and distance.

 

Where materials are delivered, our company shall endeavour to minimise the number of deliveries, and request that suppliers deliver materials on a multi-drop run, not make individual trips.

 

Company personnel shall commute to the workplace using public transport or other sustainable modes of travel, with personal vehicles only used where absolutely necessary.

 

VARIATIONS

 

Any changes or delays to the agreed works may incur additional costs. Any such costs shall be discussed and agreed prior to commencing works.

 

Where a quotation is issued based on planning drawings, our company shall not be held responsible for any omissions or errors in these plans which may incur additional costs.

 

As an NICEIC Approved Contractor, our company is obliged to highlight any faults found in existing installations, even if unrelated to contracted works. Remedial works may incur additional costs and shall be discussed and agreed prior to commencement. Should the client decline such additional works, our company may be unable to supply certification upon completion of contracted works.

 

INVOICING AND PAYMENT

 

Our company shall never request advance payment, or that the client pay a deposit. Invoices shall be raised based on completed work or completed stages of work, with the company’s terms being 28 days from invoice date.

 

Should the client request that works be halted, whatsoever the reason, before completion, the client shall be liable to recompense our company for all materials, fittings and labour costs already incurred.

 

COMPLETION AND COMMISSIONING

 

All works shall be checked or formally tested to ensure that they are safe, have been completed in compliance with relevant legislation and, where applicable, manufacturer's requirements.

 

Where required, all notifiable work shall be reported to building control.

 

Following testing and commissioning, our company shall hand over any documentation and, where applicable, shall explain the operation and maintenance requirements of the works.

 

Our company shall retain copies of all documentation and certification.

 

GUARANTEES AND WARRANTEES

 

Fittings and equipment are guaranteed by the manufacturer. However, our company should be contacted in the first instance if anything appears to be operating incorrectly.

 

CLIENT SATISFACTION AND COMPLAINTS

 

Communication with clients, other contractors and others affected by our work activities shall be maintained throughout our activities to ensure expectations are met.

 

Should expectations not be met, any deviation from, or failings in, company working practices or policies shall be promptly investigated.

 

MONITORING AND REVIEW

 

This policy shall be monitored and reviewed to ensure its ongoing relevance, suitability and effectiveness.

 

Our company shall ensure that this policy is communicated to, and understood by, all clients and company personnel, including subcontractors and personnel supplied through agencies or other third parties, and that this policy is upheld at all times.
